Recurring billing for MSPs

Hire remote MSP billing specialists who reconcile agreements to the PSA

A billing specialist holds each agreement up against what your PSA shows, and each distributor invoice up against what you resold. Dokimo places them to work your books and only your books, and they're employed and paid in their own country through its employer of record (EOR) partner. The specialist prepares, and your people approve anything that moves money.

Prepare and approve are split, and the split is a condition of the placement

Start with the payment boundary, because it decides whether this seat is safe to fill from outside the US. No billing seat initiates, approves or releases a payment, wire or transfer. No seat holds a bank credential. No seat is an authorized voice for confirming or changing payment instructions, so when a vendor emails new bank details, the specialist hands it to the named person on your side who owns that call. That's a condition of the placement. It isn't a setting you choose.

Access to billing and accounting systems is read-only or preparation-only, and it runs under the specialist's own named credential, never a shared login. Anything that changes money is applied by a named person on your side. That covers rate changes, write-offs, credit memos and pressing send on an invoice run. The specialist prepares each one with the support attached, and your person approves it and applies it. The seat gives no accounting opinions and no tax advice, so those stay with your CPA.

What the monthly crunch looks like from this seat

The core job is reconciliation in two directions. In the first, the specialist matches what each agreement should bill (users, devices, minimums, add-ons, the escalator that took effect last quarter) against what your PSA actually shows, and lists every gap. In the second, they hold vendor and distributor invoices (Pax8, Ingram Micro, TD Synnex, or whoever you buy from) against what you resold. A license you pay for and never billed, or a client still billed for a user who left, then shows up on a list before it costs you margin or a client's trust.

Amendments and true-ups follow the same route. The specialist reads the signed change, works out the new quantity or rate and documents it. A named person on your side applies rate changes, and you agree up front how quantity true-ups are checked before the run is approved and posted. Then comes the crunch itself: your invoice run gets an exceptions list ahead of time, so the person who presses send is reading a short list of problems rather than the whole run.

The same seat covers the AP and AR side at a smaller scale. Vendor bills get coded and matched to your purchase records, and payment runs are prepared for your approver to release. On the receivable side the specialist works the aging report, sends reminders on templates you've approved, and passes disputes and payment arrangements to your person. Ledger upkeep and bank reconciliation prep come along when the volume supports it.

A skills test built from a reconciliation that doesn't tie

Every candidate is tested on the real work before you meet them. For this seat the candidate gets an agreement export and a distributor invoice that disagree, and what they do about it is the test. Coding an invoice can be taught. Finding the mismatch, tracing it and writing it up cleanly is the skill that matters.

Nobody arrives already knowing your setup, whether that is the PSA you run (Autotask, ConnectWise Manage, HaloPSA, whichever it is), the accounting system that holds the ledger or the distributor portals you buy from. What you get is someone tested on your kind of problem, who then learns your systems and your agreements from your team.

Hours, region and the optional workstation

Billing is mostly written work, so the recruiting region matters less than it does for a service desk seat. It matters when the specialist has to reach US vendors or your own team by phone, or hold to your close calendar, so name the overlap hours you need when you ask for the seat. And because this seat works with billing data, ledger entries and vendor details, the secure remote workstation is worth raising. It's the one optional add-on, priced separately.

Where this is the wrong answer

A dedicated billing seat needs a real reconciliation queue. If your agreements are few and one distributor covers most of what you resold, the work fits inside someone's week and a full seat would sit idle. It fits once the monthly crunch is a job of its own: many agreements, several vendors, amendments arriving mid-month. It also fails if your billing process lives in one person's head, because a dedicated specialist needs something to be trained against.

You keep payment approval, and you keep any sign-off, on the US side. This isn't a seat for someone to open mail, take checks to the bank or stand in your office, and it isn't a CPA seat: no view on how something should be recorded, no return, no filing. The seat works in your own back-office systems and needs no access to any client's environment. If a client agreement limits who may see its contract or pricing, check that with your counsel before the seat starts.

There are three more points. Dokimo won't quote a time to shortlist, because an invented date is a missed date later. The front end is slower than a firm that forwards resumes, and that is deliberate. A seat takes time to recruit and ramp, so it doesn't suit a short spike. Contract to hire and direct placement are for Tier 3 technical and technical management seats only, so they don't apply to a billing seat.

What you get

What the engagement covers, and what is optional

Agreements checked against the PSA

Each agreement's users, devices, minimums and add-ons are checked against what the PSA shows, with a monthly exceptions list for your approver.

Vendor and distributor invoices matched to what you resold

Invoices from distributors, license programs and vendors are held against your resale records, and every difference is itemized with the source attached.

Amendments and true-ups, prepared for approval

The specialist reads the signed change and documents the new quantity or rate. A named person on your side applies it, as with write-offs and credit memos.

AP and AR preparation

Vendor bills are coded and matched, payment runs are prepared for your approver to release, and the aging report is worked with reminders on templates you've approved.

Optional secure remote workstation

One optional package, priced separately from the seat: a US-hosted virtual desktop, centrally revocable access, disclosed productivity and activity monitoring, and managed endpoint security. Worth raising here because the seat works with financial data.

Questions

Frequently asked

Can a remote billing specialist release a payment or change a vendor's bank details?

No, and that is a fixed condition of the placement: the specialist prepares and your people approve. No seat initiates, approves or releases a payment, wire or transfer, holds a bank credential, or acts as an authorized voice for confirming or changing payment instructions. Access to billing and accounting systems is read-only or preparation-only under the specialist's own named credential. Anything that changes money, such as a rate change, write-off, credit memo or invoice run, is applied by a named person on your side.

What does a remote MSP billing specialist cost?

Seats run from $1,650 a month in the Philippines and from $2,050 a month in Mexico. The price covers the specialist's pay and the employer costs local law requires, including statutory year-end pay. It also covers their employment and payroll in their country through Dokimo's employer of record partner, the search and screening, and one monthly invoice. Software licenses, which your MSP provides, sit outside the price. The level of work sets where the seat lands, and the calculator on the pricing page shows the price for each role and level. Month to month, with no long-term contract.

What happens if the billing specialist isn't the right fit?

If a hire isn't working out in the first 90 days, we find a replacement at no extra cost. Month to month, with no long-term contract.

Which systems will the specialist work in, and what hours?

The specialist works in whatever you run: your PSA, your accounting system and your distributor portals. Nobody is expected to arrive knowing your setup. Tell us the hours you need when you ask for the seat. Reconciliation is written work and travels well across regions, while calls with US vendors or your own team need real overlap with US business hours.
